Refund & Cancellation Policy

At Syscogen Cognitech Pvt. Ltd. (“Syscogen”), we strive to provide reliable and transparent IT, web development, and digital services. This Refund & Cancellation Policy outlines the circumstances under which payments may be refunded or services canceled.

1. Advance Payments

  • All advance payments made to initiate a project are non-refundable.
  • Work begins only after receiving the agreed advance and required specifications from the Client.

2. Milestone Payments

  • Payments are collected on a milestone basis as per the approved proposal/quotation.
  • Once a milestone is delivered or partially worked upon, the corresponding payment is non-refundable.
  • Delays in milestone payments may result in work suspension until dues are cleared.

3. Service Cancellation by Client

  • If the Client chooses to discontinue the project after commencement, all payments made up to that point remain non-refundable.
  • Any pending dues for completed milestones must be cleared before project files or credentials are handed over.

4. Service Cancellation by Syscogen

  • Syscogen reserves the right to cancel a project due to non-cooperation, non-payment, or breach of terms by the Client.
  • In rare cases where Syscogen is unable to deliver the agreed services (and where no Client-side delay exists), a pro-rata refund may be considered for the incomplete portion of work.

5. No Refund Cases

  • No refunds are provided for services that are successfully delivered and approved.
  • No refunds are available for delays caused due to Client-side issues such as content, access credentials, feedback, or approvals.
  • No refunds are available for third-party costs such as hosting, domains, SSL, APIs, SMS gateway, payment gateway charges, or licenses.

6. Project Postponement

  • If a project is postponed for more than 2 months by the Client, Syscogen reserves the right to cancel the project. All payments made will remain non-refundable, and additional charges may apply to restart the project.

7. Dispute Resolution

  • Any disputes regarding payments, refunds, or cancellations will first be addressed amicably between Syscogen and the Client. If unresolved, they shall be subject to the jurisdiction of the courts of Malda, West Bengal, India.
